There are several requirements herein that we must fulfill in order to participate. Following the instructions below will help immensely in expediting processing everything for this mission. I have posted this Mission Order inside the Phantom Thunder news item on the Centex Homepage (http://www.CenTexPGR.org) so you do not have to register or sign in to view it. Just click "Read More" under the headline to view it and the current RSVP list. Please be cognizant of any comments you leave there as it is public. DATE: Tuesday, 24 Nov 09 Staging Location: 440 Plaza parking lot just NW of the intersection of Highways 190 & 195 (Ft Hood Rd) ON Hwy 195 (Ft Hood Rd) in Killeen, TX. Staging Time: 0530 Briefing: 0700 KSU: 0715 I will be attending numerous In Progress Reviews (IPRs) at Fort Hood to coordinate, so please keep watch on the thread for new developments! 1. On Tuesday, 24 Nov 09, III Corps and Fort Hood is having their Phantom Thunder III Motorcycle Safety Ride through the greater Fort Hood area to reinforce safe motorcycle operation and demonstrate to the community their committment toward disciplined operations. III Corps has again asked the Patriot Guard Riders to participate. 2. The ride will begin at Pritchard Stadium on Fort Hood and takes a 75 mile route north through Fort Hood to Hwy 36 and back down West Range road returning to Pritchard Stadium. This event has been made optional for all soldiers stationed on Fort Hood who own a motorcycle, as well as all civilian workers given leave to attend that day. The ride is planned to start at 1100 and end around 1400 with the soldiers being released for the day. Unlike previous Phantom Thunder Rides, this will not include a concert or entertainment at the conclusion. 3. To facilitate our participation: a. We will provide our RSVP information of full legal name, address, city, state, zip code and phone number of each participating rider to III Corps no later than COB (Close of Business) 20 Nov 09. ANYONE NOT ON THAT LIST WILL NOT BE ALLOWED TO PARTICIPATE per Fort Hood Directive. In order to accomplish this we ask that you: (1) PM your RSVP to Wendi either on the National website (ArmyWife65) or the CenTex (ArmyWife65) website prior to NOON on 20 Nov 09. NO EMAILS WILL BE ACCEPTED as sending a PM verifies for us that you ARE a member of the PGR since you have to be signed in to send one. The RSVP should include your information only, not questions. If you have a question, post it on the mission thread or the comments section of the Phantom Thunder news item on our CenTex homepage. (2) If you will have a passenger, include that person's information. (3) Passengers with no ride yet should RSVP their information in anticipation of getting a ride. (4) I will post a list of persons who HAVE RSVP'd inside the Phantom Thunder III news item on the homepage (http://www.CenTexPGR.org) so you will know if your name has been received. You will not have to sign in to see this list, just click the "Read More" link. Only first and last names will be posted for privacy. (5) We can remove you from the list at the last minute, but we cannot add you to it at the last minute. This information will be used only for official ride paperwork and will not be shared. b. We ARE required to adhere to Fort Hood's requirement for Personal Protective Equipment (PPE) as listed below. This is non-negotiable, so do not ask. PPE, Motorcycle Endorsement on Drivers' Licenses, Proof of Insurance and a rudimentary visual safety inspection of your bike will be checked at the PGR staging prior to entering post. Fort Hood has waived Motorcycle Safety Foundation Basic Rider's Course completion card requirement for us. PPE: * DOT Helmet * Eye protection. If your helmet is full-faced or you have a face shield that protects your eyes, you do not need to wear additional eye protection * Long pants * Boots that extend above the ankles * Long-sleeve shirt and/or full sleeve jacket. Your arms must be covered at all times while riding. * Full-fingered gloves c. Every rider and passenger must agree to and sign a waiver of release, witnessed by one of our RCs, during the PGR staging on the morning of the ride. Everyone should familiarize themselves with this waiver prior to the ride to expedite signing them during staging. You can download or view the waiver at this link: http://i112.photobucket.com/albums/n165/marebear_56/20091124PTIIISJAWaiver.jpg. Your patience is expected during staging to accomplish this task as without a waiver, you will not be allowed to participate. d. No cages are allowed to participate in the ride per Fort Hood directive. If you ride a cage and want to participate, find someone with a motorcycle to ride with. e. We will have access to Fort Hood AS A GROUP through the Santa Fe Gate. Once KSU is called at the PGR staging, no riders will be allowed to join the group. f. For those outside CenTex who wish to participate, you certainly may and should organize locally. However, we will not accept any last minute additions to the access list and everyone who rides must be present at the local (CenTex PGR) staging. g. Plan to bring your own drinks and snacks as it is unknown at this time if any will be available at the Stadium. h. Once inside the Stadium on Fort Hood, RIDERS ARE ASKED TO REMAIN AT THEIR BIKES, prepared for a secondary staging. As units roll in to the staging area, we will be sent in smaller groups to augment each unit. Once you are staged with a unit, you will have time to use the facilities. 4. This is your chance to ride with the soldiers who stand in the breech for us and provides us an opportunity to show them that America Cares For Her Soldier-Warriors and their safety. Fort Hood has assured us that they will welcome as many PGR members as we can muster as long as they meet the criteria posted above. For those of you who are familiar with Fort Hood: Unless you visit often, this may be your last chance to see Pritchard Stadium - It is scheduled for demolition in May 2010 to make room for the new hospital. Please join us! -------------- next part -------------- An HTML attachment was scrubbed... In a word I can tell you this.PLENTY. This is going to be by far the largest Patriot Guard event(s) that has hit the Dallas/Fort Worth area EVER and all hands are going to be needed to make it a success. For those not familiar Snowball Express, it is a once a year event sponsored primarily by American Airlines where children who have lost a military parent since 9-11 are flown to a location in the U.S. and hosted to a week of events and fun to show them how much they are loved and respected. This year, about 1300 kids, ages 5-18 and about 700 adults accompanying them will be descending on Dallas for this event December 8-13, using 9 Dallas hotels, and the Patriot Guard has been asked to escort them everywhere they go. For more information on the Snowball Express organization please visit www.snowballexpress.org. If you are interested in riding escorts, this is right up your alley. There is going to be plenty of riding to do. There will be a couple of flag lines in downtown Dallas at City Hall and between there and the Convention Center. There will be literally something for EVERYONE to be involved with and multiple opportunities on a daily basis. We will also be invited to attend at least one of the events with the participants. Let me give you a couple of examples of what we can expect: American Airlines is bringing in all of these folks on charter flights. The domestic flights arrive on December 9 at DFW airport. Starting at 10:00AM, a convoy of 3-4 busses will be leaving the airport every hour, on the hour until the last one leaves at 6:00PM that evening. We will need riders to accompany each and every convoy out of the airport. Each convoy will be going to one of the hotels in Dallas. We have been promised that Law Enforcement will be going with each convoy as well. Once a group of riders gets to the hotel, we can leave them to unload, etc., and get back to the airport to be ready for another convoy. While you are riding and returning, one or two other convoys will have already made their way out of the airport and be making a trip like the one you just did. This will go on all day long! Another example is the first of 3 escorts the next day. We will stage at 9, that's right NINE, different hotels - all at the same time - and escort a total of about 43 busses to Southfork Ranch. The busses are scheduled to depart their respective hotels all at the same time, about 4 busses from each hotel, and go to Southfork from downtown Dallas. Again, Law Enforcement has promised to be with each group. Now this is just the FIRST escort of the day. Later we take the whole thing to Mesquite where the Mesquite Rodeo is putting on a supper and full blown rodeo for them. We all are invited to attend the rodeo and enjoy the festivities. After that - we will be taking them back to the 9 hotels. And that's just the FIRST DAY!!! See - I told you this would be GREAT! Lots of riding, showing lots of respect and honor for kids and family members who so richly deserve it. The last 3 years this event has been held in California and the Patriot Guard there has been a big part of the events there and now it's our turn and we can show them how we do it Texas style. We are putting together the nuts and bolts on how we're going to make this happen but you can be fairly certain that it's not going to be like a regular mission. With us having to be so many places all at once, we are devising a method of signing up so that we can be sure we have riders everywhere. It would be bad to have 15 riders at one hotel and no riders at another. We need to know our distribution is good and that everything is covered. We also need to have our flag bikes spread out among the locations to make a great showing in that way. Ride Captains - your expertise is going to be needed in many ways and you will be called on a lot during these times. I know that the riders in Texas and North Texas are the finest human beings on the planet but I will please remind everyone - when you sign up to be somewhere, please BE THERE. We are counting on you, and these kids are counting on you. We will be spread very thin. Your smiling face WILL make a great difference and it will be missed if it isn't there. This is a happy event and your being there makes everyone happy. At the planning meeting I attended a video was shown of a part of last year's event. It was taken from the inside of one of the busses. All of the kids had out their cameras and cell phones are were taking pictures and shouting and waving out of the windows. I figured they were at Disneyland or someplace like that. The video then panned to outside of the bus window to what the kids were looking at. It was a group of Patriot Guard Riders going by next to the bus honking their horns and waving. They said that the kids LOVED the motorcycles and the riders. The video then moved on to other events. We can, and do, make an impact. These are kids who have lost a parent in the military since 9-11. Some may have lost a parent very recently and are coming on their first Christmas without them. You may be the one who puts a smile on that child's face because of seeing you riding along with his/her bus. Personally, I think the chance that might happen is worth the effort. There will be lots more coming out about this very soon. Please start gearing up for this and making plans. From the time those planes start touching down until the time we get them back to the airport at the end of their week there will be A LOT going on. We have only touched the surface here. The safety and security of the kids is PARAMOUNT. There are volunteer opportunities available if anybody wants to participate and be near the children. Anyone who wants to do that MUST have a background check conducted through Snowball Express. No exceptions. More on that later as well. Mike and I have had discussions on the regular ongoing missions, KIA missions that might come up, etc. This is going to be a great event and the PGR is going to have a big role in it. Snowball Express reached out to invite us last April and is very excited we are on board. We'll need all hands and we're hoping for participants from E. TX and Central TX PGR - and any other PGR folks who want to participate. Please join in, and welcome!! More information out soon. It is impossible to be in each city and at every event within North Texas. The North Texas calendar does show five missions listed to honor veterans on Veterans Day. I understand that some people are out of town and others have made family plans. If it is possible for you to support the PGR at any of the scheduled missions on Veterans Day we ask that you please make the effort. The event at the school in Crowley had the support of two riders who were given a hero's welcome. The children learned all week about the veterans and got to meet them in person. If you can spare the time to support at least one scheduled mission, please do. -------------- next part -------------- An HTML attachment was scrubbed... We have ridden with this fine organization before and it is a great honor to be asked to be with them again. They are a marching unit that leads many parades and events, and they also have a couple of military vehicles at their disposal. While motorcycles and parades sometimes don't get along, the weather will be favorable and another advantage in being with this unit is that we are in the front of the parade. That means we will step off on time without waiting for the rest of the parade to move out and we will keep moving without the "accordion effect" of stopping and starting all along the parade route. In this parade, we will be entry #3, behind a fire truck and police car. It just doesn't get much better than that. Important - When you get to the staging area, tell them you are with entry number 3 and they will show you where to go. For folks coming in from out of town - There are no special discount plans at any of the hotels available to us for this event. For hotel, meals, etc., we are all on our own. The hotels that Snowball Express will be using are all in the downtown Dallas area if anyone is interested in those but we will have to shop deals individually. Cagers - You are not being forgotten in all of this. There will be plenty for you to do. For example - on December 9 when all of the airport arrivals are occurring, it would be fantastic if cagers could be at the various hotels wearing all your PGR gear to greet the kids when the busses arrive and welcome them to Dallas. They will have already had a long day and seeing those smiling faces ready to help them out will, I'm sure, be a welcome sight. That's 9 different hotels so there will be plenty of opportunities to participate. And that's just one example. There will be plenty for everybody to do. There will be sign-up for this. Bad weather - First of all, don't even think about it. Secondly, we will just have to make calls on that as we go. The events will proceed regardless of the weather, this much we know. We will not, however, expose ourselves to a situation that will jeopardize our mission or the safety of the riders or those we will be escorting. Best advice is to bring your wet weather gear and your cold weather gear. Semper Gumby. Note: Some of our riding will be after dark. Reflective clothing is always a good idea. We have reflective belts for sale in our store and they have a memorial patch affixed to them in memory of our friend and fellow PGR member Gary Maddux, who was killed in an accident at night on his way home after a mission last April 1. We do not have a rule requiring reflective clothing, but. Questions have been asked about how the riders will know where to go, who to report to, etc. Soon there will be a sign-up mechanism whereby the riders can choose their preferences on which hotel to report to for the escorts, what times they are available for the airport escorts, etc. We did a test run on this with some of the ride captains over the weekend and it seemed to work out pretty well. We're still working out some of the bugs. There will be a ride captain with every escort. Depending on availability, we may be using some ride captains from other regions as well. This sign-up mechanism also allows for you to go back into it and alter your original choices but there will be a cut off time, probably 24-48 hours prior to the event, where everything will be locked in and you can make no further changes. Then, if one location needs people we can move some folks around. The riders and cagers will get to choose where they want to go unless we get to the point where something isn't covered.then we'll be forced to shuffle things. Law enforcement help - Snowball Express has been promised all the LEO help it needs from the Dallas Police Department. The Dallas PD has been magnificent with helping the PGR each and every time we have needed it, without exception. That being said, moving 3-4 busses each from 9 different hotels, all at the same time, is going to require a lot of personnel. I doubt that they will be able to completely shut down highways, etc. That means we will be navigating through Dallas traffic, even though escorted. Be prepared for this. We will, in all likelihood, be travelling with other vehicles in the lanes right next to us and sometimes at highway speeds. Other safety - There are going to be special rules for this series of missions. This is necessary for the safety of the kids. There will be no Ft. Hood here if anybody can help it. No idiot trying to blow up a skyscraper. Remember that these are all kids who have lost a military parent since 9-11. 'Nuff said on that. Access to the kids and where they are going and what they are doing will be limited. Snowball Express has its own security and credentials are required to go places and do things. This is a fact of life. Nobody is trying to be mean to anybody. The kids have to be accounted for at all times. Access to the kids has to be controlled. Pedophiles have to be kept out. Criminals have to be kept out. You get the picture. If you are wearing your PGR gear and are in a place where PGR is supposed to be then you will at least be recognized as someone associated with Snowball Express and not someone from the general public snooping around. If you're cruising a hotel lobby at midnight in your PGR gear without any other kind of credentials you might be seen as being out of place and questioned by someone. The Snowball Express people are very excited that the PGR is participating and we have been met with smiles and open arms at every step along the way. They are devoted to the safety of the kids and family members and I, for one, am glad that they are and support them fully. I know you do as well. I know PGR folks. I know you'll be looking out for the welfare of these kids, too. They are our extended family and there will be kids and other family members present who we will recognize from standing tall and silent at the services for the family member that they lost. We want them to be safe and happy and carefree on our watch and I know we can be good partners with Snowball Express and whatever security measures they put in place. There are volunteer opportunities with Snowball Express. I do not know the extent of these opportunities or what the availability is for these events. All I know is how to access the process. If you are interested in volunteering, you go to the Snowball Express web site, www.snowballexpress.org and register as a volunteer. There is a text box that allows you to tell them what you're interested in. They will get back with you and if it works out you will have to submit to a background check. This is because you will be working with children. The background check information is submitted on line and will cost you $7.50. Whether or not you are subject to having your background checked is entirely up to Snowball Express. We're just making this information available to you. None of the information will be shared with us. That's all for now. More and more will be coming as we get things nailed down. Ride Captains - we will be needing you very much during these days. You are going to be contacted soon on all of this so please make yourselves as available as you possibly can. Your experience and expertise in really going to come into play. Thanks everyone. Each of these kids has lost a military parent since 9-11. You may very well have stood tall and silent at one or more of the services as that parent was laid to rest. This event, for some, is the only Christmas they are going to have. We do this for the kids, and for their surviving parent. Nothing else matters in the planning and execution of these events. What you will find below is a summary of what is going on during each of the days that Snowball Express is in town and how the PGR fits in. This is a summary or overview and is not intended to answer all of your questions or to be all inclusive. The answers to some of your questions aren't yet known. We're working on them. Mike, Dewey, me, and the Ride Captains are going to be working very hard to make this as fun and worry free as possible, but this is serious business. Security measures will be high. Very high. We will comply in all circumstances with any security measure requested of us. Your Ride Captains will have complete authority wherever they are and DO have the authority to dismiss any PGR person, or person from another group (or individual) who is participating with us, from any venue at any time. If a Ride Captain tells somebody to hit the trail, they hit the trail. Mike has approved this and compliance is mandatory. Just in case there are any questions, let's put them to rest. Mike and Dewey are in complete charge of every aspect of these events. My role in this is the liaison between Snowball Express and PGR. The reason I am sending you these messages is that in that position, it is simpler for me to send the information to you rather than for me to send it to them and then have them send it to you. Our North Texas leadership have been active participants every step of the way for months in this process and continue to be. Now.there is plenty for everyone to do and all hands are going to be needed to give these kids and their family members the best possible experience. Here's what is on tap as of right now: December 9 - Massive amounts of kids and family members are coming in on charter flights, a few on commercial flights, and another bunch are driving. We are primarily concerned with the charter flights. We are committed to escorting 2-4 busses from DFW airport to the hotels in Dallas, roughly every hour. There will be a Ride Captain for every escort. The first flight comes in at 11:00AM and they run roughly every hour after that, with the last flight landing at 6:32PM. We will stage with the busses, inside the airport. As Snowball Express needs busses at the terminal, they will call up the number they need. That particular escort of bikes will go with them. LEO is supposed to be with each group of busses and take them all the way to the hotel(s). When we arrive at the first hotel we will go back to the airport and stage again for the next group. With enough riders available, we can just rotate until we are finished for the day. December 10 - Three to four busses will begin loading at 8:15AM at each of 9 hotels in Dallas and be leaving shortly thereafter for Southfork Ranch. We have LEO support. A Ride Captain will be in charge of each of these rides. The Snowball Express participants will have a large number of things to do there and there is a possibility of things for PGR to do there also. Or, we are free to stand down for a while. Snowball Express wants to start leaving Southfork at 3:45PM. We will, of course, stage earlier than that. Destination - Mesquite Championship Rodeo. We have LEO support for all of these movements. On arrival, all are going to enjoy BBQ supper and a full rodeo. PGR is invited, including the food. At 8:30PM they want to leave and head back to the hotels. We may or may not be making that run with them. December 11 - City Hall and Convention Center Day. We will leave the hotels just like we did the day before, only we're going to Dallas City Hall. The mayor will speak, I understand Gen. Peter Pace will speak and a few others. PGR will provide a flag line here, as big a one as we can manage. When the speeches are over, the whole group, probably about 2000 people will walk over to the convention center. We will have the flag line for them to walk through, and then the flag line will become the rear of the walk, falling in at the back. Activities will be provided for the kids/families all day long at the convention center. We may or may not be able to go in and see some of it. Security concerns will dictate. We are essentially done at that time. This day could end for us as early as 11AM if we don't go inside the Convention Center. December 12 - Big day. We will leave the hotels just like the 2 previous day with the bus loading starting at 10:30AM. We will stage earlier, of course. Destination - Cowboys Stadium. Once we get them there we can stand down for a few hours. Then the FUN starts. At the end of their day at Cowboys Stadium (about 4:00PM) they will all sit down for a meal on the field, served family style. They will also be treated to a concert by Gary Sinese and the Lt. Dan band. You remember Gary Sinese played Lt. Dan in Forrest Gump and has been in a number of movies, etc. He is a huge supporter of our military and a huge supporter of Snowball Express, having been with them every year. Problem - Gary has no opening act. Solution - "The Patriot Guard is Always There". We have been asked to provide 300 to 500 motorcycles. Picture this: The kids/family members sit down to eat - there is a rumbling outside of the stadium. All of a sudden, riding onto the playing field come 300 to 500 Patriot Guard motorcycles, flags flying. That's right - riding - right on the field. We will circle the field, park the bikes and stay for the concert (about 90 minutes). When the concert is over, we mount up, fire up the bikes, and ride out again in procession. The kids are then taken to the busses and escorted back to the hotels. The events of Snowball Express are then over for this year. The first thing they see is us taking them to the hotels. The last thing they see is us leaving the stadium and taking them to the hotels. One requirement - we all MUST use kickstand pads. Not coke cans or a substitute - actual kickstand pads. No exceptions. Jerry's house, Jerry's rules. Is this cool or what? There will be 300 people going to a Mav's game from the stadium. I don't know if we'll be escorting them yet or not. Call your friends, folks. We need 300 to 500 riders for this one. Imagine the looks on the kids' faces. Imagine the looks on OUR faces! December 13 - Back to the airport day. Just like the first day only backwards. The first busses start loading at the hotels at 5AM for 8:00AM flights. It appears as though the last flight leaves at 3:30PM, so that escort will probably leave the hotel(s) at about 12:30PM. We still have LEO help and the Cowboys are in town that day (so traffic may be a bit "different"). We have received a request for volunteers to assist the families at the airport. This will consist of helping the families with their luggage and generally helping them get where they need to go. The flights are charters and American Airlines is reserving entire gates for them, but you can imagine that they will still need help. We will comply with this request, of course. We have also been given the go ahead to have greeters at the hotels as the busses arrive on the 9th when we are bringing them from the airport. Cagers and others not participating in the escorts themselves can be at the hotels and welcome these good folks to Dallas, smile, shake hands and help out in any way they might need. There will be a Ride Captain or other person clearly designated as being in charge at every location. Missions during the Snowball Express time period - Semper Gumby. Mike and Dewey will be making decisions on those. KIA and active duty deaths will never, ever be turned down. Never. We may be seeking assistance from E. TX and Centex for all of this as necessary but we'll be making provisions for those situations. You can see that it is obvious we will need to know that we have all physical areas and time periods covered. Unlike a normal mission, we can't just wait and see who shows up and wing it from there. That won't work. For each day there will be one or more very brief survey questionnaires we will use as sign-up sheets for the various events. They will come out in mission e-mails and links to them will be on our North Texas web site. Pages with information on Snowball Express are already being developed on the web site. Using these surveys is how you will sign up for the missions and how we will know that we have everything covered. If we're heavy in one place and light in another, we can adjust to cover. One good thing about these is that you CAN go back in and alter your answers. For example, if you thought you were going to be available between 8:00AM and Noon on one day and then later find out that you are actually available from 1:00PM to 6:00PM, you can go in and change what you put in earlier. At some point, though, probably 24-36 hours before the event itself we will lock the responses and you'll be responsible for being where you said you'll be. We'll be expecting your smiling face on site and ready to go. We have run a test on this system and it works pretty well. Average time to fill these things out was about 5 minutes.10 minutes if you type slowly. This message is not intended to be all inclusive of each and every detail of what's going on. Universally, I have been told by the organizers that these kids LOVE the motorcycles. Median age range that they're planning these events for is 8-13 years, male and female. I believe the youngest are 5 and the oldest are 17 or 18. For many of them, this IS their Christmas. All of it. Each of these kids has lost a military parent since 9/11 and for some, without Snowball Express there would be no Christmas at all. Christmas decorations on your bikes or on your persons are appropriate. I am told from other PGR folks around the country - who will be at the various airports helping the families and seeing them off on their way here - that the kids aren't particularly shy about asking for the Santa hats that many of the riders are wearing. They give them to the kids, of course. If you're wearing a Santa hat, or have a pocket full of candy canes, or something like that - I think you'll likely be pretty popular. There are more details. There is more about security and credentialing and background checks and loads of other stuff. There always is. And some of what is above will likely change. Yes, we know how we're going to get in and out of the airport and the terminals without paying the toll, etc. This e-mail is long enough already One of our riders, maybe you, may make the difference in Christmas for one of these kids. Your smile, your motorcycle, something - may make the difference. The sacrifice that each of these kids, and their particular mom or dad, has made is more than almost all of us will ever know. And look how young they are to have made it. And they will live without that parent for the rest of their lives. Some of them will live without that parent for 90 years or more. Can you spare a day or two? Can you spare a smile or two? This is for the kids. Some of these parents and kids you've seen before. You've taken them to funeral homes, churches and cemeteries. Your PGR brothers and sisters have done the same thing all over the country. How about we take them someplace once again? Someplace happy this time. Let's put some smiles on their faces and love them and let them know that The Patriot Guard is Always There. Thanks everyone. Starting on airport arrival day, December 9, there will be at least one Snowball Express event every day including airport departure day on December 13. On some days, there will be many events for the attendees to participate in. The Patriot Guard Riders will be escorting the attendees (the kids and parent/guardian[s]) to and usually from many of these events on a DAILY basis, including airport arrivals and departures. These escorts will be leaving, as a general rule, from 10 hotels in the downtown Dallas area, all at the same time. That means 10 separate missions, all led by a Ride Captain, each one escorting anywhere between 2 and 15 busses, going to a common destination. Law enforcement is scheduled to accompany every mission. Law enforcement has briefed us that so far, they have no intention of stopping traffic and running red lights for us. All traffic rules will be obeyed. This is not a funeral, an emergency situation or any other event that would require traffic to be interrupted. They will block intersections as we turn into a venue, for example, but that's about it. This policy is always flexible and the officers have discretion to do whatever is necessary to maintain order and the safety of the public, but that is the word we have right now. In order to make sure we have this many venues covered adequately with riders, there is no way to keep up with this than to have riders either show up at a common location about 3 hours before the escorts begin and assign them to the various venues, or have the riders sign up ahead of time for where they would prefer to go. We thought that the way to give the riders the most freedom was to let each rider choose. That being said, if we see that 1 rider is signed up for one hotel and 15 are signed up for another hotel, you will understand our need to shuffle some riders to even it out. We should always remember that these trips are for the kids. The kids love to see the bikes and we want to make a good showing every time the bikes are scheduled somewhere to put as many smiles on as many faces as we can. If all goes according to plan, before the end of this weekend the sign-up process can begin for at least the first two days of the Snowball Express event. These days are the airport arrivals and the first day's excursion for the attendees. Notice of the sign-up process, including a link to the form(s), will be sent in an e-mail like this one and notice will also be on the North Texas PGR web site (www.txpgr.org) with a link there to the form(s) as well. The sign-up process is in the form of a very brief question and answer survey. There are about 8 questions on each. Questions are those like.your name, your e-mail address, which hotel do you want to go to, are you available for the whole mission, etc. There is nothing probing, personal or unrelated to the event. Some of the questions are mandatory and if they are not answered, you will be prompted for an answer. You WILL be able to go back in and change your answers until sometime between 24-48 hours prior to the event. At that time we will close the form and start analyzing the information so we can see who is doing what. Please do everybody a favor. If, at that late date, you have committed yourself to being someplace - be there. We are counting on you and the kids are counting on you. Let's think a little about this task for just a moment. We are leaving from 10 hotels. If we have 10 riders - a nice number - at each hotel, each day, that's 100 riders and 10 Ride Captains just to start with. That's a pretty good number of people and that's just us. We will be escorting approximately 43 busses per movement, containing (and we have various types and capacities of busses) in the neighborhood of 1700 Snowball Express attendees and a number of volunteers on top of that number. I would wager that none of us have ever moved that many people at just about any escort we've done - and we're going to be moving that many people quite a few times. It's a big, big job. We must all be very careful and very attentive to what we are doing. It's the kids who are supposed to be having the fun; we must be there to work and be safe at all times. The Ride Captains are in total control of the PGR people and everyone riding with us at all times. Nobody should be going to Snowball Express people except the Ride Captains. This is the first time that Snowball Express has been in Dallas and they will be very busy. They are expecting us to know what we're doing. We do. When the Ride Captain says to be on the bikes and ready to go in 5 minutes, the Ride Captain does NOT mean 6 minutes. There is going to be a Snowball Express person at the hotel who will know when all of the busses are loaded with all who are going to go and that person will give the bus drivers, LEO and the Ride Captain the sign to move out. At that time - it will do just that. If you aren't there it will go without you and if your bike is in the way it may be a casualty. There are simply things we are not in charge of and this event is bigger than us and is not FOR us. Show up ready, properly dressed, bike gassed up, in the right place and with your head on straight. If you are not, the Ride Captain has the authority to send you packing. I know it may sound silly to say this, but anyone who, for any reason, is not ready to go in the judgment of the Ride Captain will not be allowed to go. Alcohol, drugs, prescription meds that cause a problem, bike not safe, you name it - if the Ride Captain says you stay behind, you stay behind. Anyone who does not obey the instructions of the Ride Captain regarding ride safety, the way the ride will be conducted, etc., will not be allowed to continue with Snowball Express. Nobody's going to look for any trouble, but we will maintain a tight ship during these movements. It must be that way for the safety of everyone, not just the riders. Deputy State Captain Mike Lambert, Assistant Deputy State Captain Dewey Dyer and I will be moving as best we can between all locations to help. We are there to help. We all want all of these missions to be successful and we are dedicated to doing our best to see them be that way. We will back up the Ride Captains in their decisions. We will be in almost constant communication with them to keep them up to date on changes of plans, etc. In a nutshell, here is what is planned for the days: On December 9, we will be running escorts of about 4 busses at a time from DFW airport to the various hotels. We will all stage in one area with the busses. We get called up to the terminal and some of the riders will move up with the busses. When those busses are loaded, off we go. When the riders get to the first hotel, they will turn around at that point and head back to the airport and return to the staging area. While they are on their escort, more escorts will be moving up and doing the same thing. Once we get them all to their hotels, we're done. On December 10, we are leaving from all of the 10 hotels (KSU right now about 9:30AM) for Southfork Ranch. Once at Southfork we will deposit the kids there and return to Southfork and take them to the Mesquite Rodeo Arena where they will all be attending the Rodeo (KSU right now about 3:45PM). The riders MAY be able to attend the Rodeo also and eat some free BBQ. Plans are not final on that yet. The Rodeo should be over at about 8:00 - 8:30PM. We will NOT be escorting the attendees back to the hotels. On December 11, we are leaving from all of the 10 hotels (KSU right now about 9:30AM) for Dallas City Hall. We will have flag lines there while speeches are being made, etc. This will be followed by a "Walk of Gratitude" (foot parade) to the Dallas Convention Center where a full day of activities, music, etc., is planned for the attendees. We will provide a flag line for them to walk through and then bring up the rear with the flags and go with them to the Convention Center. Once we get them there, we are done for the day. We should be wrapped up before noon. On December 12, we are leaving from all 10 hotels to an as yet undetermined location for the attendees to have a late breakfast. KSU tentatively planned for about 10:00AM. After the late breakfast/brunch, the busses will be reloaded and we will take them to a staging area to be determined by the Dallas Police Department. Once there, a huge convoy will be assembled and the entire mass will go in one big procession to Cowboys Stadium. I don't know how long a line 43 busses makes but I'll bet it's a long one. When we get them to Cowboys Stadium they will all go inside for a full day there. At a time and location at the stadium yet to be determined, the motorcycles will line up to ride into the stadium to ring the field prior to the Lt. Dan Band w/Gary Sinese concert. We are shooting for 300-500 motorcycles. Kick stand pads will be REQUIRED and they will be checked. The concert will last about 90 minutes. Food and beverage will NOT be provided for the riders but I understand we can bring our own. Note - if you carry it in - carry it out. Leave NOTHING behind. It is unlikely seating will be provided for the riders since we are on the field so plan on sitting on the turf or on your bikes. This is not definite, but that's what I'm recommending. At the end of the concert we will fire up the bikes and ride out before the attendees leave their seats. Big flags are encouraged. U.S. are recommended. Once we get outside we will stage and escort the busses back to the hotels. Approximately 300 of the attendees will get on busses to go to American Airlines Center to attend a Mavericks game. We will escort those busses (about 8 busses) over there as well. On December 13, we are escorting from the hotels back to DFW airport. Some of these flights leave early and the plan is to leave the hotel 3 hours prior to departure. So.if a flight departs at 8:00AM (and there are 2), well, you do the math. We do runs back and forth to the hotels until we're done. Are there more details? Yes. Many more. You have many more questions in your mind right now, such as - where do we stage at the airport, where do we park at the hotels, what routes are we taking, are cagers going to be involved, what happens if it rains or snows, can we have greeters at the hotels so people not in the escorts can participate, what's this I've heard about credentials and background checks, what if there's a terrorist attack, can we carry guns/knives, bazookas/nunchucks/throwing stars, can I do donuts on the 50 yard line because I don't like Jerry Jones, what is the meaning of life, did Elvis really start this way? We'll be answering most all of these questions and more as the days go on. Most aren't crucial for right this minute. The list of the 10 hotels is already on the web site so you can print that off and look them up. As far as staging areas - figure that you'll be staging at the hotel (except the airport). The exact location at the hotel itself will be provided very soon. Figure on bringing your own food and beverages (non-alcoholic) to everything unless you hear differently. We know we're doing flag lines at city hall so the flag/water truck(s) will be there and the store will be at several of the locations as well. There is one overriding theme for all of us when it comes to Snowball Express. It's very simple and can be on everyone's lips all that week and as we prepare for this."It's all about the kids". I have spent a pretty good bit of time with the board members and organizers of Snowball Express and I can tell you for a fact that these people are solid gold. There is not a one of these people who could care less if they eat or sleep during this event or the time leading up to it. They don't care if they have to come out of their own pockets for things or who they have to lean on to make sure these kids have a good time. They have put this together from scratch. They are the real deal. If we're standing somewhere thirsty and hot.or cold.I'll point out to you where the CEO of Snowball Express is right out there with us. We are working in this very closely with the Snowball Express director of ground transportation. That just makes sense. You are liable to see him running between busses or jumping in a van at the last minute to get somebody someplace and I wouldn't be at all surprised to see him on the side of the road helping change a tire. He's a retired Major General. These are good folks. They are in it for one thing. "It's all about the kids". I think we can repeat that theme among ourselves and I think we can repeat that theme among our non-PGR friends and affiliates who will be participating with us. When we ask ourselves why we should get up in the morning and go to Dallas, and ride in the Dallas traffic all over everywhere when we don't even get to go inside Southfork or something like that we can just remember that simple theme - "It's all about the kids". Don't forget that at their young age, each and every one of them has a mom or a dad who is not coming home again.ever. And that mom or that dad died for you and me and every kid in America. So let's all join in."It's all about the kids". Thanks to you all for everything you continue to do. This parking lot is accessed off of the northbound service road inside the airport at crossunder number 6. It is marked as employee parking. You do NOT go through the toll booths to get to this parking area. We will stage with the busses in this lot. Please be on time. We will have a briefing as soon as final instructions are received from Snowball Express. If you are not signing up for the first escort, your staging time is 30 minutes prior to your first one. The current general plan is for a group of riders, to include a Ride Captain and at least one big flag bike, to move to the terminal (through a toll plaza) with the busses when called up and leave the airport via the South exit and head for a hotel location in Dallas. When you arrive at the hotel location you will pull in with the busses and when the busses stop to load you will leave them there and return to the staging area at the airport to prepare for another run. While one group is conducting an escort, other groups will be being called up and beginning the next escort, etc. You are going to be asked on the form for your motorcycle license plate number. We will turn that number in ahead of time and having that number will prevent you from being charged the toll. Please bring your own food and water/beverage as needed. Law Enforcement is scheduled to accompany each escort. Additional details will be provided at the on-site briefing. http://www.surveymonkey.com/s/MZJNF9B Thank you. The first escort of the day will be to take the participants to breakfast. At this time the location for this breakfast has not yet been determined. Keep an eye on the North Texas PGR website at www.txpgr.org for additional details. The next escort will be to a central location - to be determined by the Dallas Police Department - where the busses and riders will be staged for a mass procession to Cowboys Stadium. Some are calling this an actual "Snowball Express". There will be approximately 43 busses, support vehicles, Law Enforcement and the Patriot Guard Riders all in one formation descending on Cowboys Stadium from Dallas. It ought to be quite a show. If you are a cager and have a Patriotically Decorated Vehicle - something really nice - bring it along and we can put it in the procession. Once there, the participants will go inside the stadium where the Cowboys have a number of events planned for them, including current and former Cowboys greats on hand, star athletes from other sports, tours of the stadium, field, locker rooms, etc., cheerleaders to take the girls on tours and onto the field, food, activities, etc. We will stand down then following a briefing until time to line up for a motorcycle ride into the stadium. The exact time and exact location for that staging has not yet been determined by the organizers. Keep an eye on the web site for that information. We will ride into the stadium and onto the playing field as an opening for a concert for the Lt. Dan Band, let by actor and supporter of our military troops Gary Sinese. We will ring the field and park the bikes. Commercial kick stand pads must be used and they will be checked prior to entering the stadium. No kickstand pad - no entry. We are looking for between 300-500 bikes for this ride-in. We will not be fed during the concert but it is OK to bring your own food and non-alcoholic beverage. Our seating will be either on the turf or on your bike. If you bring it in, carry it out. Leave no trash behind. After the concert (about 90 minutes as I currently understand) we will ride out of the stadium and stage to escort the busses back to the hotels and one group of busses to American Airlines Center. It will be dark when we leave. Reflective clothing is recommended. Law enforcement is scheduled to be present at each escort and will be present in numbers at the stadium.
